## Every doctor manages their shifts in one app.

The Amefis doctors’ app works on phone, tablet and computer. In it, each doctor enters their requests, checks their rota, looks up a colleague or a department, communicates and swaps shifts.

A shift can be checked hour by hour, with the colleagues on call that day and their contact details. A colleague, a department or a task is found in a few letters. To swap a shift, in full or in part, the doctor proposes, the colleague accepts from a link received by e-mail, and the rota coordinator approves.

**I already use Amefis: where do I sign in?**

Doctors sign in at console.amefis.be; managers, at their hospital’s dedicated address. The amefis.be site introduces the product. The doctors’ app — where you check your rota, enter your requests and swap shifts — is the same for every doctor, whatever their hospital: add console.amefis.be to your bookmarks. The managers’ back office, on the other hand, is specific to each hospital.

Amefis is Belgian hospital scheduling software. It automatically generates a department’s on-call rota taking requests, team and personal constraints and fairness into account, and checks every rule of the department live, with every change. Doctors enter their requests from their phone, tablet or computer; the rota is published, swapped and exported, from a single department to a whole hospital network.

**Does Amefis generate the on-call rota automatically?**

Yes. Amefis automatically generates the department’s on-call rota from its rules, the doctors’ requests and unavailability, and the fairness tracked over the year: on-call shifts, weekends and public holidays. The generated rota can still be edited, and every change is evaluated live: a conflict shows up in real time, while you plan.

**Does Amefis handle the regulations for doctors in training?**

Yes. Amefis checks the working time, rest after on-call and consecutive on-call shifts of doctors in specialist training, the moment each schedule, swap or absence is entered. When the regulations change, the Amefis team updates the software: the department has nothing to reconfigure.

**Does a department have to change how it is organised to use Amefis?**

No. Amefis was built department by department, in Belgian hospitals, with one goal: to cut the administrative workload to a minimum without ever forcing a department to change the way it is organised. Constraints, roles, access rights and unavailability shortcuts are set for each department and each team, including for doctors who work across several departments.

**Can doctors enter their requests from their phone?**

Yes. In Amefis, each doctor enters their requests and unavailability whenever they like, from their phone, tablet or computer, and sees what has been granted. Swaps happen directly between colleagues or go through an approval step, as the team decides; every swap is evaluated the moment it is entered.

**Do you need to install an app to use Amefis?**

No. Amefis is made of two web applications: a back office for the hospital and its administration, and the doctors’ app, designed for the phone first. The doctors’ app is a PWA: it opens in the browser and can be added to the home screen like an app, without going through an app store.

**Which languages is Amefis available in?**

In French today. English, Dutch and German arrive from 2027, for both the hospital’s back office and the doctors’ app. The amefis.be website is already available in these four languages. Outside Belgium, Amefis also adapts to each country’s regulations and calendars.

**Is Amefis available outside Belgium?**

Yes. Amefis was built in Belgian hospitals, but it adapts to other countries, their regulations and their calendars; outside Belgium, the rules for doctors in training follow your country’s regulations. The demo uses an example close to your department’s rules: just enter your country in the demo request form.

### Rollout and support

**How is Amefis rolled out in a department?**

In four steps. The Amefis team meets the department to understand its written and unwritten rules, then configures them with the head of department until the schedule matches reality. Amefis generates a first rota in parallel, so you can compare it with your current method before changing anything. Doctors then move to the tool, and the first weeks are followed closely.

**Do existing rotas have to be re-entered to switch to Amefis?**

No. The Amefis team takes over the department’s existing data itself, from Excel or from the tool used until now, and imports it into Amefis during the rollout. The department has nothing to re-enter, and the first rota generated in parallel can be compared directly with the current method.

**Does Amefis work with the institution’s email?**

Amefis carries its own email client: messages are read and written in the back office, without switching tools. Every user has an Amefis mailbox there, and the institution can connect its own addresses — its server, its domain name — so that messages go out under its own name. The doctors’ app stays focused on the rota.

**Who provides support for Amefis?**

The people who build Amefis. There is no call centre and no ticket passed from hand to hand: support is provided by the people who develop and master the product, who answer with full knowledge and, when needed, build a tailored solution as quickly as possible.

**How much does Amefis cost?**

On request. Amefis publishes no price list: each institution receives an offer, drawn up from the departments concerned and their size. The price is given during the demo, or on request at contact@amefis.be. The demo is also where you size up what your department needs.

### Data and security

**Where is Amefis data hosted?**

In Europe. The data Amefis processes for a department (rotas, requests, unavailability, teams and rules) is hosted in the European Union and remains subject to the GDPR. Amefis is a web application: doctors and administration reach it from their browser or their phone, and nothing is installed on the hospital’s servers.

**Is Amefis GDPR compliant?**

Amefis complies with the GDPR, the European data protection regulation. The data of doctors and departments is hosted in the European Union. The institution’s own data protection requirements are taken up during the rollout, together with its security requirements.

**How does Amefis protect data?**

Amefis goes beyond current security standards and can also adapt to the institution’s own requests. Connections are encrypted and data is backed up every day, encrypted, in the European Union. Two-factor authentication can be enforced for every user. Each user only reaches the departments and the functions their role opens, and the history of changes is kept and auditable. Amefis implements the security requirements of each institution: they are settled during the rollout.

**How do users sign in to Amefis?**

With an Amefis account. Authentication is handled by Amefis itself, with no dependency on an external directory or on Microsoft SSO. The hospital sets the rules: password length and composition, session duration, and two-factor authentication made mandatory for all users or for some of them. Amefis aligns with the institution’s own internal rules and standards.
